Who we are
We're A&H International, kitting out referees since 1985. This policy explains what personal information we collect, why, who sees it, and what control you have over it. We've kept it in plain English.
A&H International is the trading name of Referee Kit & Equipment Retail Ltd, a company registered in England and Wales (company number 14912051). Our registered office is Bramley House, 2a Bramley Road, Nottingham, NG10 3SX.
We are the "controller" of your personal data, which means we're responsible for it under UK data protection law (the UK GDPR and the Data Protection Act 2018).
Any questions about your data, email us at support@referee-equipment.com.
The information we collect
We only collect what we need to sell you kit, get it to you and look after you afterwards.
- When you order: your name, delivery and billing addresses, email, phone number, what you bought and any personalisation (such as names or initials on kit). Card payments are handled by our payment providers, so we never see or store your full card details.
- When you create an account: your login email and your order history.
- When you get in touch: what you tell us by email, phone, social media or review sites, plus our replies.
- When you sign up for emails: your email address and your marketing choices.
- When you join our referee sessions (such as A&H Mastermind): your name, email and anything you choose to share in the session.
- When you browse our website: your device and browser type, IP address, rough location (country or town level), the pages you view and how you got to us. Some of this comes from cookies (see below).
- When you buy through other marketplaces (such as eBay or TikTok): the order and delivery details that marketplace passes to us so we can send your kit.
We don't collect sensitive information such as health details, and we don't ask for it.
How we use it, and why we're allowed to
The law says we need a valid reason (a "lawful basis") for everything we do with your data. Here's ours.
| What we do | Our lawful basis |
|---|---|
| Process, pack and deliver your order, handle returns and refunds | Contract: we need it to sell you the goods |
| Run your account and answer your questions | Contract, or legitimate interests (looking after customers) |
| Keep financial and tax records | Legal obligation |
| Check orders for fraud and keep the website secure | Legitimate interests (protecting you and us) |
| Send marketing emails | Consent, or the "soft opt-in" for past customers (see Marketing emails) |
| Use analytics and marketing cookies | Consent, given through our cookie banner |
| Understand how the website is used so we can improve it | Legitimate interests, or consent where cookies are involved |
| Run referee development sessions you've signed up for | Contract, or legitimate interests |
| Handle complaints and legal claims | Legitimate interests, or legal obligation |
Where we rely on legitimate interests, we've checked that our interests don't override your rights. You can ask us for more detail.
We don't make decisions about you using automated processing that has a legal or similarly significant effect on you.
Marketing emails
We'll only send you marketing emails if you've signed up, or if you've bought from us before and didn't opt out at checkout.
If you start a checkout and don't finish it, we may send you a reminder, unless you've opted out.
Every marketing email has an unsubscribe link at the bottom. You can also just email us and we'll take you off the list. Unsubscribing won't stop emails about your orders, such as confirmations and dispatch updates.
We never sell your data, and we never pass it to other businesses for their own marketing.
Who we share it with
We share your data only with businesses that help us run the shop, and only what each one needs. They have to keep it safe and use it only for the job we've given them.
| Who | What for |
|---|---|
| Shopify | Runs our website, checkout and customer accounts, and sends our emails |
| Our warehouse | Picks, packs and sends your order |
| Couriers (such as Royal Mail, DPD, Evri etc.) | Delivers your parcel |
| Payment providers: Shopify Payments, PayPal, Klarna, Clearpay, Square | Take payment and check for fraud |
| Marketplaces: eBay, TikTok etc. | Pass us orders placed on their platforms |
| QuickBooks | Our accounting records |
| Teams | Runs our online referee sessions |
| Analytics and ad platforms | Measure how the site performs and show relevant ads, only with your cookie consent |
| Our accountants and professional advisers | Year-end accounts, tax and legal advice |
We may also share your data:
- if the law requires it, for example with HMRC or the police
- to prevent fraud
- if we sell or merge all or part of our business. The buyer would have to treat your data in line with this policy.
Payment providers such as PayPal, Klarna and Clearpay also have their own relationship with you and their own privacy policies.
Transfers outside the UK
Some of the services we use, such as Shopify, PayPal and Teams, store or process data outside the UK, including in the EU, Canada and the USA.
When that happens, we make sure your data is protected to UK standards. Either the country has been approved by the UK government as having adequate protection, or the provider has signed the UK's approved data transfer contracts, or a similar safeguard applies. Email us if you'd like more detail.
How long we keep it
We keep your data only as long as we need it, then delete it or make it anonymous.
| Data | How long |
|---|---|
| Order and payment records | 6 years after the end of the financial year of the order (for tax law) |
| Customer account | Until you close it, or 3 years after your last order or login |
| Customer service emails and messages | 2 years after the conversation ends |
| Marketing list | Until you unsubscribe. We keep a minimal record that you've opted out so we don't email you again. |
| Referee session sign-ups | 2 years after your last session |
| Cookies | As set out in our cookie banner |
Keeping it secure
Our website and checkout are encrypted, and card payments are handled by specialist payment providers. Only people who need your data to do their job can access it.
No system is perfect, but if something goes wrong that puts you at risk, we'll tell you and the ICO as the law requires.
Your rights
You have the right to:
- see the personal data we hold about you and get a copy
- correct anything that's wrong or incomplete
- ask us to delete your data, unless we have to keep it, for example for tax records
- ask us to limit how we use your data
- object to us using your data based on our legitimate interests
- stop marketing at any time, no questions asked
- take your data with you in a commonly used format
- withdraw your consent wherever we rely on it. This won't affect anything we did before you withdrew.
To use any of these rights, email support@referee-equipment.com. It's free. We'll reply within one month, and tell you if we need longer for a complicated request. We may ask you to prove who you are first, so we don't hand your data to the wrong person.
Young referees
Plenty of our customers are young referees just starting out. If you're under 13, please ask a parent or guardian to order and sign up for emails on your behalf. If we find we've collected data from someone under 13 without a parent's say-so, we'll delete it.
Parents and guardians can contact us about their child's data at any time.
Cookies
Cookies are small files saved on your device when you visit a website. We use them to make the shop work and, if you say yes, to understand how people use it and show relevant ads.
| Type | What it does | Do we need your consent? |
|---|---|---|
| Essential | Keeps your basket, runs checkout, keeps you logged in, protects against fraud | No, the site won't work without these |
| Preferences | Remembers choices such as your currency or that you've closed a message | Yes |
| Analytics (Shopify / Google Analytics) | Shows us which pages people visit so we can improve the site | Yes |
| Marketing (Meta / Google / TikTok) | Lets us measure our ads and show you relevant ones on other sites | Yes |
When you first visit, our cookie banner lets you accept or reject the non-essential ones. You can change your mind at any time using the Cookie preferences link at the bottom of every page. You can also block or delete cookies in your browser settings, though some parts of the site may stop working.
Cookies last for different lengths of time. Some are deleted when you close your browser, others stay until they expire or you delete them. Our cookie banner shows the details.
Changes, questions and complaints
We'll update this policy when the way we use data changes. The date at the bottom shows when it was last updated. If we make a big change, we'll let you know by email or on the website.
Got a question or a complaint about how we've handled your data? Email support@referee-equipment.com and we'll do our best to put it right. We'll acknowledge your complaint within 30 days and keep you updated.
